Terms of Service

These terms govern your church's use of Epimely, pastoral-care software provided by Stuart Technologies ("we", "us"). By creating an account or using the service, the church and the people it authorizes agree to these terms.

The service

Epimely lets a church record the people it cares for and the care it provides — people and households, groups and teams, care and prayer requests, milestones, tasks, and follow-ups — with role-based access and an audit trail. We provide the service on a best-effort basis and may improve, change, or retire individual features over time. We will give reasonable notice of material changes that affect how the service works.

The church owns its data

All records a church puts into Epimely — people, notes, requests, and everything else — remain the property of that church. The church is the data controller; we are its processor and operate the data on its behalf, as described in our Privacy Policy. We claim no ownership of a church's content and will not use it for any purpose other than running the service for that church. A church can export its data and can request deletion of its account.

Acceptable use

Epimely holds confidential pastoral information, and we ask every account to treat it that way. You agree that you will:

• Use the service only for legitimate pastoral-care purposes within your own church, and only record information about people you have a lawful and pastoral basis to record.
• Keep your credentials confidential, grant staff and volunteers only the access they need, and revoke access promptly when someone leaves a role.
• Not attempt to access another church's data, probe or circumvent the access controls, audit log, or encryption, or use the service to harass, surveil, or harm any person.
• Obtain any consents your own context or jurisdiction requires before recording sensitive information about a person.

We may suspend an account that abuses the service or puts other churches' data or the platform's integrity at risk.

Accounts, trials, and billing

Epimely is offered as a single church account at a flat annual price, with no per-user fees, and includes a free trial. Free licenses are available to churches without a budget for software. We will set out the current price and trial terms at signup. If billing applies to your account, fees are charged for the term you select; you can cancel future renewal at any time, and access continues through the end of the paid term.

Availability and warranties

We work hard to keep Epimely secure and available and to protect your data, including encryption at rest, default-deny access, and regular backups. The service is nonetheless provided "as is," without warranties of any kind, express or implied. We do not warrant that the service will be uninterrupted or error-free. Epimely supports a church's pastoral care; it does not provide medical, legal, mental-health, or other professional advice, and is not a substitute for emergency services.

Limitation of liability

To the fullest extent permitted by law, Stuart Technologies will not be liable for indirect, incidental, special, or consequential damages, or for lost data or lost profits, arising out of your use of the service. Our total liability for any claim relating to the service is limited to the amount the church paid us for the service in the twelve months before the claim arose. Nothing in these terms limits liability that cannot be limited under applicable law.
